DES is seeking a detailed oriented Administrative Assistant 2 with ability to work with multi-level diverse staff.  This position will provide support to the Child Care Administration leadership and administrative team. The Administrative Assistant 2 will process supply orders, approvals for payments, reports, along with additional administrative tasks. The role will also assist with research, inventory, preparing correspondence and occasionally assist with HR duties.  


-          Maintaining/ updating vehicle logs and assuring vehicles meet ADOT regulations

-          Request service calls on office equipment

-          Process and distribute incoming mail

-          Prepares meeting agenda and minutes as necessary

-          Serves as Facilities Coordinator by overseeing building fire drills, attend meetings hosted by Office of Facilities Management and conduct other related duties


-          Strong command of the English language including excellent grammar, spelling and punctuation

-          Proficient in Microsoft Word, Excel, and Outlook 

-          Must have great customer service and telephone etiquette  

-          Administrative office practices and procedures

-          Effectively plan, organize and prioritize job duties

-          Ability to provide a high level of discretion and confidentiality


-          Two years administrative assistant experience

-          Bilingual (Spanish)


-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees

-          Successfully pass background and reference checks. Employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions

-          Valid Arizona driver license is required. Must be able to maintain a driving record in accordance with accordance with Department policy. In-state travel is required. This position requires possession of and ability to retain a current, valid state-issued driver's license appropriate to the assignment. Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12.). Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.
