JOB SUMMARY:

The Administrative Assistant functions as Receptionist for the Office of Accounting, serving as the first point of contact for the administration, which provides Payroll, Accounts Payable, Travel, Fixed Asset, and Financial Reporting services to 7,700 DES employees and thousands of external customers and vendors.  .

JOB DUTIES: 

-          Assists internal and external customers in person, by phone, and email

-          Receipts deposits and distributes warrants, and serves as Floor Warden

-          Date stamps incoming invoices, travel claims, payroll inquiries and general mail distribution

-          Processes requisitions and receivers in ProcureAZ

-          Maintains office supplies and equipment

-          Coordinates, compiles, and tracks various internal reports, lists, and cyclical deliverables

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          The principles and practices of administration and management

-          Agency or program rules, regulations, and operating procedures

Skill in:

-          Oral and written communication

-          Establishing and maintaining positive relationships with employees and customers

-          Time management

-          Using Microsoft Office applications, including Outlook, Word, Excel, and Access

Ability to:

-          Plan, coordinate, analyze and establish priorities

-          Learn and apply federal, state, and local rules, regulations

SELECTIVE PREFERENCE(S):

-          Two years of responsible administrative experience in a professional office environment; or a Bachelor’s degree in a field appropriate to the assignment from an accredited college or university and one year of related experience.
