The Division of Benefits and Medical Eligibility (DBME) is seeking an experienced and highly motived individual to join our team as an Administrative Assistant 3. Under the direction of the Regional Program Manager, this position performs a variety of administrative work as required and necessary to support the region. Major duties and responsibilities include but are not limited to:

- Conducts research for special projects and serves on special project groups.

- Monitors, prepares and updates reports; monitors and responds to all central office action items; updates and maintains spreadsheets and databases.

- Coordinates meetings and virtual office requests; serves as note-taker if needed.

- Schedules trainings; arranges hotel and travel accommodations.

- Answers multiple phone lines; utilizes automated office machines - faxes, scans and indexes confidential materials and documents; orders supplies.

-  Tracks travel claims and monitors travel documents; coordinates maintenance and inspections of state vehicles.



- Knowledge of standard administrative office practices and procedures, business correspondence formatting and proper spelling, grammar and punctuation.

- Experience overseeing multiple projects/assignments; proven ability to set priorities and meet deadlines with minimal direction.

- Strong written and oral communication skills; ability to respond to internal and external customers with diplomacy, tact and accuracy.

- Experience gathering and summarizing data for reports; experience creating and maintaining varied spreadsheets and reports.

- Experience screening and routing calls, greeting and directing visitors.

- Ability to exercise independent judgement and maintain confidentiality.

- Ability to coordinate activities across multiple assignments, problem solve and develop effective operating procedures.

- Strong keyboarding skills; experience with the use of Microsoft Word, Excel, PowerPoint and Outlook.

- Ability to explain policies, procedures and general information to internal and external customers.


- Selection preference: Proven experience with standard telephone etiquette and keyboarding skills; customer service orientation; knowledge of computer-based systems; task and detail oriented.
