Responsibilities

The Division of Benefits and Medical Eligibility is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 3. Major duties and responsibilities include but are not limited to:

- Performs a variety of administrative work of considerable difficulty that may include: report preparation; updates and maintains spreadsheets and databases.

- Authority to make decisions regarding appropriate assignment follow up and timetable management; responds and monitors all action items to central office; answers multi line phones.

- Utilizes Microsoft Office programs to complete assigned tasks or projects; coordination of meetings and note taking.

- Utilization of Automated Machines such as faxes, printers, MFP devices, etc.; fax, scan, and index documents that include confidential material; schedule trainings; arranges hotel and travel accommodations, tracks travel claims and monitors travel document numbers; orders supplies.

- Coordinates Virtual Office requests, responsible for the coordination of State Vehicle maintenance and inspections, owns and maintains email contacts and listings as appropriate.

 

 

Qualifications

- Knowledge of standard administrative office practices and procedures; business correspondence formatting; proper grammar, spelling and punctuation; various computer software packages.

- Knowledge of office and database management; time management; performing technical, complex and difficult administrative work using independent judgment; oral and written communication; capable of using personal computer and related software applications proficiently; overseeing multiple projects/assignments, setting priorities and meeting deadlines, and following up on assignments with minimum direction.

- Knowledge to explain policies, procedures, and general knowledge of the immediate unit and the Division to internal and external customers.

- Skill in composing/creating/maintaining various spreadsheet reports and correspondence with appropriate consideration of relevant policy and procedures. Skill in keyboarding and the use of Microsoft Office programs, including Word, Excel, and Outlook.

- Skill in performing full range of administrative functions required by administrators in a responsible and confidential manner.

- Ability to plan, coordinate, analyze, and establish priorities; develop effective operating procedures.

- Ability to create, maintain, and complete special projects, reports, and correspondence with accuracy and timeliness.

- Ability to set priorities and manage a diverse range of administrative functions; develop effective operating procedures; problem-solve various issues and execute appropriate independent judgment; plan, organize, develop resources and coordinate activities across multiple assignments; establish and maintain professional working relationships with staff and outside entities.

Must be in possession of, and ability to retain, a current, valid, Arizona-issued, driver’s license; appropriate to the assignment.  Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12.).  Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.
