The Division of Developmental Disabilities (DDD) is seeking a highly motivated individual to join our team as an Administrative Assistant 3.  This position is responsible for providing high-level administrative support services to the Executive Consultant of Rules/Legal Affairs, DDD Office of Administrative Review (OAR) Manager and line staff. Major duties and responsibilities include but are not limited to:

- Process all Claim Disputes and Appeals submitted to DDD OAR by its subcontractors

- Confers with supervisor, other Division staff and persons from community agencies, organizations and businesses

- Preparing memos; presentations; developing spreadsheets; accurate entry and maintaining of data information into databases

- Maintaining and utilizing a tracking system for project management to ensure timely submission of assignments/work products

- Responds to inquiries; works with members and families on reports and unsolved issues

- Answering and/or researching needed information from e-mail or phone calls from various staff

- Facilitating and attending various meetings, taking and distributing minutes; maintaining calendar for Manager, setting up meetings as requested.



- Intermediate to Advance Microsoft Office Products (e.g. Word, Outlook, Access, Excel and PowerPoint)

- Excellent verbal and written communication skills (proper use of grammar, punctuation and document formatting)

- Knowledge of administration, planning, organization, and time management

- Skills in Task Management and methods of tracking complex work with critical time lines

- Managing difficult phone calls, thinking through problem situations, and providing outstanding customer service

- Ability to multi-task, and work in a fast paced environment 

- Maintain confidentiality and professionalism at all times

- Must have a minimum of three (3) years of responsible office administrative experience or any equivalent combination of education and related experience from which comparable knowledge, skills and abilities have been achieved
