Responsibilities

The Division of Benefits and Medical Eligibility (DBME) is seeking an experienced and highly motived individual to join our team as an Administrative Assistant III. Under the general supervision of the Regional Program Manager, the Administrative Assistant III will work on a variety of projects and perform work of considerable difficulty to support the region. Major duties and responsibilities include but are not limited to:

- Conducts research for special projects and serves on project groups/committees.

- Use of automated machines such as faxes and printers; faxes, scans and indexes documents that include confidential material.

- Coordinates meetings and virtual office requests; serves as note taker at meetings.

- Schedules trainings; arranges hotel and travel accommodations; tracks travel claims and monitors travel document numbers; coordinates state vehicle maintenance and inspections.

- Answers multi-line phones; orders supplies.

- Monitors, prepares and updates reports; responds to all central office action items.

 

Qualifications

- Knowledge of standard administrative office practices and procedures to include time management, database management and utilizing independent judgement.

- Experience overseeing multiple projects/assignments, setting priorities, meeting deadlines and following up tasks/assignments with minimal direction.

- Skill in gathering and summarizing data for reports.

- Solid keyboarding skills and experience using Microsoft Word, Excel and Outlook.

- Experience with composing/creating/maintaining varied spreadsheet reports and correspondence with appropriate consideration of relevant policies and procedures.

- Ability to schedule competing meetings/conferences with appropriate preparation and follow-up.

- Positive professional manner and ability to maintain confidentiality.

- Ability to set priorities and manage a diverse range of administrative functions; develop effective operating procedures; problem-solve various issues and execute appropriate independent judgment; plan, organize, develop resources and coordinate activities across multiple assignments; establish and maintain professional working relationships with staff and outside entities.

- Preferred: Proven experience with telephone etiquette, keyboarding skills, customer service orientation and knowledge of computer based systems. Task and detail oriented.
