JOB SUMMARY:

This position serves as the staff assistant to the DBME Business Administrator and the Business Operations team. The position provides technical and administrative expertise to the Business Administrator, Deputy Business Administrator, Reporting and Analysis Manager, Finance and Business Operations Manager, Facilities and Data Security Manager, and Contracts and Purchasing Manager.

 

JOB DUTIES: 

-          Providing technical and administrative expertise to the Business Administrator, Deputy Business Administrator, Reporting and Analysis Manager, Finance and Business Operations Manager, Facilities and Data Security Manager, and Contracts and Purchasing Manager.

-     Communicate with all levels of DBME staff, develop and implement operational policy and procedures, develop formal recommendations, prepare written summaries, and monitor and track completion of work assignments.

-          Direct and/or assist with special projects as they arise with various internal and external stakeholders.

-          Out of state travel packet preparation and coordination for CFO approval, scheduling meetings and managing calendars, interview coordination, system access, and travel coordination back up for division-wide travel requests.

-          Single point of contact for the DBME Business Operations SharePo!nt site and participation on the Colleague Recognition Administration Team.

-          Order and manage supply requests for the central office and high priority division projects, research special purchasing requests with contracted vendors in accordance with their existing contract, coordinate with vendors to manage various outstanding purchasing requests, including troubleshooting issues as they arise.

 

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          The principles and practices of administration with special reference to organization, fiscal management and budgetary control; office management and supervision; project management; confidentiality policies, processes and expectations; techniques for developing technical reports; business correspondence formatting with proper grammar, spelling and punctuation; office and database management; time management; performing technical, complex and difficult administrative work using independent judgment; personal computer and related softv.Jare applications; overseeing multiple projects/assignments, setting priorities and meeting deadlines, and following up on assignments with minimum direction; policies, procedures and programs of the immediate unit, Division and sub- divisions.

 Skill in:

-          Providing administrative services for an organizational program: completing difficult analytic work; written and verbal communication; effective interpersonal relationships; excellent time management; researching, evaluating, and presenting information; explaining policies, procedures, and general knowledge of the immediate unit and the Division to internal and external customers; gathering and summarizing data for reports; composing/creating/maintaining varied spreadsheet reports and correspondence with appropriate consideration of relevant policy and procedures; keyboarding and the use of Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook; the use of lnter-/lntranet and telephone operation; performing the full range of administrative functions required by administrators in a responsible and confidential manner; handling detailed work with accuracy and speed.

 Ability to:

-          Write and speak with clarity and effectiveness; establish and maintain effective working relationships; provide technical assistance and guidance as requested; set priorities and manage a diverse range of administrative functions; plan, coordinate, analyze, and establish priorities across multiple assignments; develop effective operating procedures; problem-solve various issues and execute appropriate independent judgment; establish and maintain professional working relationships with staff and outside entities; respond to internal and external customers with tact, diplomacy, accuracy, and appropriate and timely information: communicate administrator's instructions accurately and timely; create, maintain, and complete special projects, reports, and correspondence with accuracy and timeliness; schedule competing meetings and conferences with appropriate preparation and follow-up.

 

SELECTIVE PREFERENCE(S):

-          Four or more years of responsible administrative experience in such fields as budget analysis, purchasing, accounting, data processing or related administrative services work.

 

PRE-EMPLOYMENT REQUIREMENTS: 

-          Have a current, valid Arizona State issued driver’s license appropriate to the assignment. Employee is subject to driver’s license record checks and must maintain an acceptable driving record, valid motor vehicle insurance and registration, and must complete any required training (see Arizona Administrative Code R2-10-207.12).

-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees

-          Be subject to a search of Child Protective Services Central Registry Physical

-          Successfully pass background and reference checks. Employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions
