The Division of Developmental Disabilities (DDD) is seeking an experienced and highly motivated individual to join our team as the Executive Staff Assistant. Major duties and responsibilities include but are not limited to.


-          Coordinates the schedule of the Chief Medical Officer (CMO) and manages both electronic and written communication on the CMO’s behalf as well as managing the office of the CMO.

-          Responsible for recording detailed minutes of meetings with varying levels of complexity, including meetings with outside agencies and contractors ensuring follow-up actions are completed following these meetings.

-          Assists in the development and preparation of reports, policies, procedures, and plans.

-          Assists other physicians and therapists in the Division.

-          Interfaces with the Arizona Health Care Cost Containment System (AHCCCS) and the contracted Health Plans.



Knowledge of:

-          Principles of administration and management.

-          Maintenance of files and confidentiality.

-          Critical thinking skills

Skill in:

-          Effective oral and written communications.

-          Problem solving.

-          Word processing, spreadsheets, and database applications.

-          Time management practices.

Ability to:

-          Relate with multiple levels of employees and organizational personnel.

-          Plan and complete data-driven reports.

-          Work cooperatively with others and to establish and maintain relationships.

-          Assess, analyze, and review situations.


-          A minimum of three years of administrative experience or a bachelor’s degree in a related.


-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees.

-          Successfully pass background and reference checks.  Employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
