The Division of Developmental Disabilities (DDD) is seeking a highly energetic and friendly individual with an upbeat attitude to join our team as a Human Resources Administrative Assistant. This position provides high-level administrative support services to the Human Resources (HR) Administrator (Manager). Develops spreadsheets, provides technical assistance, and maintains databases to project manage assignments as requested by the manager. Has a significant amount of public contact with Division staff at all levels, other division/agencies, and stakeholders. Coordinates, facilitates, and attends various meetings to take, transcribe, and distribute minutes and follow up on assignments.  Major duties and responsibilities include but are not limited to:

- Uses computer programs, including Microsoft Excel, to analyze complex issues and manipulate data from multiple resources. Confers with managers and division staff to develop metrics, business reports, and solutions to problems as related to personnel actions, operations, policies, procedures, budget development, and strategic organizational planning.

- Reviews and evaluates program activities analytically and develops effective work plans and methods for improvement.

- Refers management and employees to proper staff for interpretation of A.A.C./Personnel Rules, Division/Department Policies and Procedures, and Federal/State law.

- Independently composes formal and informal correspondence, prepares presentation, maintains and enters information into Access database, develops and utilizes a tracking system for project management.

- Performs other assigned duties including but not limited to: disseminating personnel-related paperwork.


Minimum Requirements

- Must possess one (1) year of experience in creating analytical reports and one (1) year of knowledge of continuous improvement processes. Must possess three (3) years responsible administrative experience; OR a Bachelor’s Degree in Human Resources, Business Administration, Public Administration, or closely related field from an accredited college or university and two (2) years responsible administrative experience. Must possess a valid Arizona Driver’s License and be able to maintain a driving record in accordance with Department Policy.                                                           



- Knowledge of procedure analysis and policy development, time and diversity management, data gathering and report preparation, and standard office and administrative practices.

- Ability to develop, write, format, and edit high-level business communications (i.e., letters, memos, emails, and reports)

- Skill in using computer programs (i.e., Microsoft Excel, Word, Access, Visio, Outlook, SharePoint)

- Skill in handling sensitive matters, including those of a highly confidential and/or legal nature

- Ability to learn, interpret, and apply federal and state rules and regulations

- The preferred candidate will have experience working in a Human Resources environment.
