JOB SUMMARY:

Working within the Real Estate Services unit, the Project Coordinator manages all facets of project management, such as budget, schedule, procurement, and quality for real estate projects, including planning, design, construction, occupancy, and closeout. 

JOB DUTIES: 

-          Negotiate and prepare lease documents for commercial office, warehouse, and residential space, and sub-let of DES space

-          Manage and coordinate construction and tenant improvement projects of high complexity, including new construction and build-to-suit facilities

-          Design and coordinate tenant improvements, monitor costs and adherence to time frames, and ensure DES requirements are met

-          Develop, maintain, and execute complex, detailed project plans; coordinate activities with program representatives, support offices, lessors, and property management companies

-          Conduct property management of leased space, ensuring day-to-day business operations are uninterrupted

-          Prepare budget estimates and approve payments for funds, including reimbursement to lessors and vendor payments

-          Utilize real estate market data to conduct space searches and determine facilities options and cost impacts for recommendation to DES programs

-          Utilize AutoCAD software to design and develop functional space plans

-          Coordinate relocation activities

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          Real estate and property management principles

-          Agreements/contracts, leases, and lease negotiation techniques

-          Cost estimate and budget

-          Space planning, design, and utilization

-          Interpretation of Federal, State, and local laws, codes, and regulations pertaining to real property, acquisition, construction, and property management, including Federal OSHA, life safety, fire, asbestos, and ADA

Skill in:

-          Comprehension, analysis, and interpretation of lease negotiations and negotiating techniques

-          Identifying and resolving problems

-          Developing and sustaining productive working relationships with DES colleagues and external customers

-          Written and oral communication

-          AutoCAD, Microsoft Word and Excel, spreadsheets, and databases

Ability to:

-          Learn DES organizational structure, including program functions within that structure, DES lease documents, contract administration, state budget process, and procurement code

-          Research and interpret contracts, leases, and other formal agreements, as well as fiscal/funding data

-          Prepare reports related to Real Estate

SELECTIVE PREFERENCE(S):

-          A Bachelor’s degree in Design, Architecture, or Engineering, and three years of experience in designing, negotiating, and costing renovations of multiple-use buildings.

PRE-EMPLOYMENT REQUIREMENTS: 

-          This position requires the possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment.  Employees who drive on state business are subject to driver’s license record checks, must maintain an acceptable driving record, and must complete any driver training (see Arizona Administrative Code R2-10-207.12).
